Incumbent performs a wide range of office of tasks, such as telephone, on-site reception, filing, general distribution of materials and meeting/conference room scheduling. This is a generic, continuous posting to receive applications in order to create a pool of applicants to interview as vacancies occur during the 2009-2010 school year. This posting will remain open for one year. |
KNOWLEDGE, SKILLS & ABILITIES: |
- Knowledge of proper English grammar, spelling and usage; business math, effective office operations and procedures; operation of a variety of office equipment and machines; alpha-numeric filing systems.
- Skills in keyboarding, data entry and word processing software.
- Ability to establish and maintain effective working relationships with a variety of people in a multi-cultural environment; communicate effectively, both orally and in writing; maintain confidentiality as appropriate; provide effective customer service; discern appropriate responses and alternatives; and apply judgment within established parameters.

DUTIES AND RESPONSIBILITIES: |
- Operates a variety of office equipment; may perform data entry and word processing functions when assigned at an elementary school.
- Answers incoming calls on multi-line telephone and/or switchboard; directs callers as appropriate; takes and refers messages.
- Greets visitors, and refers or directs as appropriate; provides customer service, explains documents and requirements, and answers procedural inquiries; may take and receipt monies.
- Establishes, maintains and retrieves a variety of computerized and manual files, logs and other records and documents.
- Compiles, organizes, tallies, records and distributes a variety of materials and/or data.
- Schedules meetings and conference rooms; assists with arrangements for meetings.
- Opens, processes and distributes mail.
- Maintains office supply levels and advises appropriate staff member(s) of necessary purchases.
- Provides back-up and peak-load coverage for others, including health room; may provide orientation for new and temporary staff.
- Trains and supervises student helpers.
- Uses computers and related technologies.
- Performs related duties as assigned.

EDUCATION AND EXPERIENCE: |
High school graduation or GED (General Education Degree) and one (1) year of office experience, including customer service and communications skills, or an equivalent combination of education and experience. Experience in keyboarding, data entry and word processing preferred.

Work is typically performed in an office environment. Incumbent is typically required to have precise control of fingers and hand movements; must be able to crouch, crawl, bend or kneel; lift and move objects such as file boxes. |

SALARY: |
Office Personnel Substitute pay rate is $12.89 per hour. In the event of a long-term assignment (20 days or more consecutively in the same assignment) the substitute pay rate is increased depending on the position they are filling. |
